Getting Started with Messaging and Alerts

The Power of Email and Text Messaging

Receiving the right reminder at the right time can make all the difference to ensure your keys stay safe.

Keyzapp’s powerful messaging capabilities make sure that everyone involved with your keys is kept informed of what’s going on, and receives a timely reminder when they need to take action.  You can set up a combination of Text Messages and Emails which inform the right person at the right moment to take action.
Administrators can set up Messaging & Alerts from the Admin Menu

The options available for messaging can be overwhelming at first, but to get you started, Keyzapp includes some basic “recipes” for the most common scenarios that you can then tweak to meet your exact needs.

3 ways to get keys back faster using messages

1. Remind people when keys go overdue

Keyzapp can send a message to a key holder when keys go overdue, reminding them to bring them back.

Highly Recommended

Keys not returned promptly are most likely to get lost, so it’s important to chase them back as soon as they go overdue , then follow up again if they are still not returned.

Our Recommendation: Use SMS messages for the best response: See how

2. Send a confirmation when keys are issued and returned

Sending a confirmation when people take keys creates a digital “paper trail” that puts the emphasis on your key holders to follow your rules.

Confirmations can be used for all sorts of things, especially:
  • Providing digital proof that a key has been issued and/or returned
  • Telling people what is expected of them whilst they have your keys
  • Giving out extra information about the keys, such as a property address or alarm code in a way that is more secure than a piece of paper.
Our recommendation: Use Email for secure and legally binding receipts: See how

3. Notify team members when overdue keys are not returned

If a key holder ignores your reminder message, then someone needs to follow up! In the past, that was often left for team members to notice and do something about it, but with Keyzapp, all the guesswork is taken out.

Highly Recommended

We recommend setting up a sequence of escalation messages , where a team member is alerted after a key has been overdue for a short period (e.g. 3 days).

Our recommendation: Use email to prompt team members to follow up on keys: See how
