How To Setup Overdue Key Reminders

This article is for Office Administrators
Sending overdue reminders is one of the most popular and powerful ways to make sure your keys come back on time.

We recommend using Text Messages for overdue key reminders, as studies show that contractors are 98% more likely to read and respond to a text message than an email.

To get started, go to Admin>Messages and Alerts  (Can't see it?)


Setup Text Message Reminders

  1. On the Messages and Alerts Screen, click “Start Here”.

  2. The template we want is 1. SMS Overdue Reminders and Followups. Click this and click Apply.

  3. 2 new Messages templates have been created and enabled in the Text Messages Column , in the Automatic templates tab. One under Keyring Goes Overdue and Another Under Overdue Reminder (Before Or After).

  4. If you want, you can customize these messages. See Customizing Text Messages (Requires Professional Subscription or Above).

Setup Email Reminders

  1. On the Messages and Alerts Screen, Click “Start Here”.
  2. Select the template: 2. Email Overdue Reminders and Followups. Click this and click Apply.

  3. 2 new Messages templates have been created and enabled in the Email Column , in the Automatic templates tab. One under Keyring Goes Overdue and Another Under Overdue Reminder (Before Or After) .

  4. If you want, you can customize these messages. See Customizing Email Messages (Requires Profession Subscription or Above).

What could you customize?

Our predefined template messages are designed so that they work well without any customization, but you may wish to personalize them a bit more for your business. Here are some ideas:

  • Change the language you use (make it stronger or more friendly)
  • Add additional details about the keyring or the property
  • Disable the "1 day later" follow up message, or add a new message to follow up after 1 more day has passed

Frequently Asked Questions

Can I set up recurring or repeating reminders?

This isn’t possible at present. We generally find that once someone has received more than one or two reminders, it’s time to try something else, like asking a team member to call the offending key holder. See How to set up team notifications for overdue keys.

Can I send reminders both by email and by text message?

Yes you can. Just set up email and text reminders separately, and if the person has both a mobile phone number and email address set, they’ll receive both reminders. You can customize when the messages are sent, so that, for example, an email is sent first, but a text is sent a day later if they didn’t bring the key back. Why can't I see Messaging and Alerts in the admin Menu?

First, you must be an Office Administrator.  If you cannot see the entire admin menu, then you're probably not an Administrator.  If you can see the admin menu, but not the Messages and Alerts option, it's likely that messaging has been restricted down to just a few administrators. Contact your main administrator for help, or call support.
