It's often useful to send a manual message to chase keys - for example when someone
still
hasn't brought them back after receiving an automatic message.
Before you can send manual overdue messages, they must first be set up by an
Office Administrator
. See
Send Overdue Reminders from the Keyrings Page
The easiest way to send a quick overdue reminder to everyone with an overdue key is using the Keyrings page. If you want to choose from a number of message templates, see choosing a specific overdue message template, below.
-
In the
Signed-out Keyrings
box on the
Keyrings
page, click
Send Overdue Reminders
-
The page for
Overdue Keys
will open. Confirm the recipients of the message before clicking
Send.
You can't send messages to people without a valid mobile number. To update the number, update the
Contact Details
of the person with overdue keys.
Sending a message from the Extras menu enables you to choose the message template that is sent out. For example, you might have a
"Thank you for staying with us"
message that you send to chase keys from your clients, but a more direct
"Please bring back the keys"
message to be sent to your suppliers. The different message types can be set up by Office Adminstrators
-
Navigate to
Extras
> Text Messages
-
Under the Send New Text Message box select the text message template which you would like to send
-
The next page shows the contents of the message template and proposed recipients (i.e. all individuals with overdue keys)

-
Confirm the recipients of the text message before clicking
Send
If you find you need to send a lot of manual messages, have you considered setting up multiple overdue reminders?
