Using a Dropbox Kiosk

What is a Dropbox Kiosk?

A dropbox kiosk is a physical location - accompanied by a Keyzapp Kiosk - that allows key-holders such as staff, contractors etc to quickly and efficiently drop keys back to your office in a secure manner. This functionality provides a combination of Keyzapp software, and physical hardware, to streamline key management processes.

Can I Use This Feature?

In order to be able to access the Dropbox Kiosk functionality, you must:
  1. Be on the Keyzapp Professional package
  2. Have a Keyzapp Kiosk device
  3. Have a location to store the Kiosk and a dropbox in your branch/office/front-of-house

How Does It Work?

A Keyzapp kiosk will be located at the front of your branch/office, alongside a secure drop-box facility. Contractors and other key holders can walk up to the device and scan a key to return it:


Once the key is scanned, the user will be required to confirm, and can (optionally) provide any further notes if required:


Once confirmed by the user, they simply need to drop the keys into the secure location and walk away; Keyzapp will log them out of the kiosk to then allow the next user to access as required:


FAQs

When would I want to use this?
If you are a business with high-volume key returns, this functionality might just be for you! Particularly if you have trades coming into the office in a rush, trying to return keys - here's hoping that they won't need to park on a yellow line for too long! 
Similarly, if you have a front desk 'buffer zone' of sorts, customers love this reduced disruption of key returns, allowing your staff to work on other value-add activities. 


Is the functionality customisable at all?
As with most elements of the Keyzapp software, there are plenty of customisable options that the team can implement to better suit your preferred workflow. Examples include:
- Showing or hiding additional fields
- Changing the on-screen messaging
- Providing multiple drop-box locations
And more. 

Why can't I use this without a Kiosk?
To fully maximise the efficiency of this module and allow users to seamlessly scan and drop keys, a Keyzapp Kiosk is required. See our guide here for more information on these.

Can I set parameters around when this dropbox is available?
Yes you can! For example, if your office is open Monday-Friday 9-5, and then Saturdays 9-1, you can configure the dropbox to allow submissions during these times only. Outside of these hours, the Kiosk device will automatically log itself off, preventing users from interacting with it.

What should I do with the keys in the physical drop-box itself?
We recommend that - on a daily basis - you designate a staff member to take the keys out of the dropbox and directly to the key-room. Here, they will be required to scan them in to mark them as signed in; Keyzapp will tell them which hook/cabinet to put the keys on.
Idea
Why not have another Keyzapp Kiosk located at the key cabinet? The staff member can quickly sign in using their ID fob, and then scan each set of keys to see which hook to put them on. This will provide a quick-and-easy sign-in process.
