Archiving Keyrings (Previously "Return to Owner")
The Archive process releases the key fob ready for re-use, and hides the keyring from search results. Properties with only archived keys are considered "Inactive" and do not count towards your billing total.
When you’d like to archivea keyring, do the following:
- Click Keyrings from the Keyzapp Home page
- Start typing the Keyring ID and select the Keyring from the drop-down list*
- The Keyring Details page will load – click Archive
- Complete the Person box (select the person using Search, scan their ID card or untick ‘owner in Keyzapp’ to type their name manually)
- Complete the Confirm box with any relevant comments (useful for the log)
- Click Submit
* If you do not know the Keyring ID you can first search for the associated property. The keyrings for the property will be listed on its details page, and you can then click on the keyring you wish to return. You will then be taken to its details page, step 3 above.
A search for a keyring which has been archived will show the details recorded.
If a keyring is assigned in error, the same archive process is used.
Once a Keyring has been archived, it will become available for re-use, and will appear in Keyfob suggestions, although not necessarily as the preferred option. This will depend on how the suggestion process is configured.
